Job Title: Data Systems & Analytics Manager
Reports to: Senior Director of Advancement Operations
Location: Portland, ME or Remote
Salary Range: $72,000 - $76,000 / annual
Summary:
The University of Southern Maine Foundation is seeking a highly analytical and detail-oriented Data Systems & Analytics Manager to support the Foundation’s mission of transforming USM through strategic philanthropy. This role will serve as a lead technical resource for database reporting, system optimization, and data integrity within Ellucian Advance and other advancement platforms.
Data and Reporting (50%)
Develop and maintain complex SQL queries, procedures, and scripts within Ellucian Advance and any future advancement systems to support fundraising and engagement reporting.
Design and deliver timely, accurate, and insightful reports and dashboards for internal staff, board members, and other stakeholders.
Support ongoing segmentation, data modeling, and analysis to inform campaign strategy, prospect research, and donor engagement.
Create and maintain self-service reporting tools for staff using Advance, Power BI, or other platforms.
System Management & Integration (30%)
Oversee daily operations and optimization of the Advance database and any future advancement systems, including gift processing workflows, data entry standards, and user access.
Coordinate data migrations, upgrades, patching, and enhancements to the CRM(s) in partnership with UMaine System IT, vendor support team, and third-party consultants.
Lead or support data integration projects between advancement systems and third-party platforms (e.g. email marketing, event management, gift processing, analytical tools), ensuring bi- directional data flow and system interoperability.
Participate in implementation and training efforts as new systems or tools are introduced.
Project Management & Support (20%)
Lead or support technical projects including CRM upgrades, new module implementations, and cross-platform integrations.
Serve as a subject matter expert for the Advancement Operations team, providing training, documentation, and support for both Advance and other systems used by the Foundation.
Collaborate with advancement colleagues, campus partners, and IT stakeholders to ensure systems meet business needs and align with long-term strategy.
Education/Experience: Bachelor’s degree or equivalent experience in information systems, data science, business analytics, or a related field. Minimum 3 years of professional experience in data analysis, database management, or technical reporting.
Knowledge, Skills, and Other Abilities:
Strong proficiency in Oracle or other enterprise SQL-based database, SQL, and Crystal Reports, with demonstrated experience in developing queries and reports. (Required)
Working knowledge of relational databases and data structures required. (Required)
Experience with advancement CRMs such as Ellucian Advance, Kindsight Ascend, or other alumni and donor management systems. (Preferred)
Familiarity with reporting tools such as Snowflake, Power BI, Tableau, or other systems.

Knowledge of data integration techniques and working with third-party system APIs. (Preferred)
Familiarity with project management methodologies (Agile, Waterfall, etc.).
Knowledge of Microsoft Suite, Gmail, Google Docs, Google Calendar, database software, and contact management systems.
Experience working in higher education, fundraising, or nonprofit advancement operations.
Ability to learn and adapt to new systems and technologies as advancement platforms evolve, with training and support provided.
Strong attention to detail and commitment to data integrity and accuracy.
Excellent collaboration skills with both technical and non-technical colleagues.
Ability to manage multiple tasks and deadlines with minimal supervision.
Strong written and verbal communication skills, with the ability to explain technical topics to end users; ability to communicate and interact with a diverse group of end-users and work diligently to understand and address information requests and manage expectations.
Strong interpersonal skills, discretion in handling confidential information; self-motivated and a team player.
Remote Work Availability
Our team follows a hybrid work model, with three days in the office and two days remote each week. For the right candidate, we are open to considering a fully remote arrangement for this position.
